Bishop Challoner Catholic College isn’t just a school, it’s a community in motion. With over 1,200 students and 180 staff, this secondary school and sixth-form college is alive with round-the-clock activity.

From hosting dementia cafés to leading charitable work in Peru, the students here aren’t just learning; they're shaping the world around them. At the heart of it all is a deep sense of responsibility.

Many of the students live with chronic medical conditions. Every day, staff manage care plans, contact parents, respond to emergencies, and ensure no child slips through the cracks.

For Julie Jones, the school’s Lead First Aid Administrator, it’s more than a job. It’s a promise to every child and every family that their safety and well-being matter to her and her colleagues.

The paper burden: when caring got complicated.

Before Medical Tracker, that promise was hard to uphold.

“There was so much paperwork,” Julie recalls. “Accident or incident reports had to be filed and kept. We were writing handwritten slips for teachers and parents, and that’s a real GDPR concern if they get lost with student details on.”

Logging, storing, tracking… it all took time that could’ve been spent caring. However, the impact on communication was even more concerning. “It can be difficult to get hold of parents. If you can’t reach them, they may say we didn’t inform them about a visit to the first-aid room. That breakdown in trust was frustrating for everyone.”

Medication tracking was equally difficult to manage manually. “When many students take medication in school, it’s hard to keep up with expiry dates and stock. You need to give parents enough notice to get a new prescription—and that’s easy to miss.”

Finding a better way forward

“It's great. It’s so much easier to generate reports for trips and off-site activities. Emergency contacts, medical conditions, care plans, it’s all there, easy to print.”

In fact, even ambulance crews have taken notice: “Many of them have commented that it’s a great way to do this. They can see everything they need: medication, GP details, emergency contacts, date of birth, legal name. It saves time in a crisis.”

And while some details do need to be added manually, most information flows directly from the school’s MIS—making updates and maintenance smoother than ever.

A system that supports holistic care

Julie doesn’t just see Medical Tracker as an admin tool. For her, it’s a lens into students’ lives. “We can see frequent visits to the first-aid room. That might flag a concern; maybe lesson avoidance, maybe something deeper. It helps us support students with whatever issues might be causing it.”

“I would be disappointed,” she says simply. “Because I rely on it now.”
