From missed records to meaningful insights: How the Thomas’s school group transformed healthcare with Medical Tracker.
The problem: paper, gaps, and “no one told me”.
Before adopting Medical Tracker, the Thomas schools group faced a worrying lack of consistency in recording and communicating accidents and health incidents.
“Documentation was either non-existent or reliant on paper-based recording,” recalls Jane Graham, Group Medical Lead. Parents often received handwritten slips, or sometimes nothing at all.

“There was no reporting to senior management, no evaluation of incidents. Anyone gave care, and information to parents was hit and miss!” Jane explains.
This lack of oversight meant important trends went unnoticed, from repeat injuries to gaps in medical management. Parents' complaints about poor communication only highlighted the urgency of finding a better system.
The search for a solution.
Jane knew the schools needed more than just a digital logbook. “We needed an accurate method of recording accidents, illnesses, medications, and near misses. We also needed an accident reporting system. I also wanted something that could give me details about statistics and numbers to evaluate incidences and subsequent care.”
The goal was clear: to build accuracy, consistency, and confidence among staff, senior leaders, and families.

When Jane discovered Medical Tracker, it ticked every box. The platform offered a GDPR-compliant, centralised way to record and monitor school health incidents. From day one, its usability stood out. “It was very easy,” says Jane. “My training with staff is pretty self-explanatory.”
“We have improved our head injury management as a result of statistics and the ability to demonstrate what care has been given. In addition, it has increased the need for more teaching and management of food allergies due to statistics.”

Staff also appreciate how easy it is to prepare reports for trips, governors’ meetings, and even RIDDOR escalations when required. “It covered all that I wanted it to do. It was a bonus that it could create trip reports and diagrams of statistics suitable for governors.”

Tangible improvements
Perhaps the most meaningful impact has been in head injury and allergy management. “We have improved our head injury management as a result of statistics and the ability to demonstrate what care has been given. The verdict
For Jane, Medical Tracker is now indispensable. “I felt it was easy to use and covered all that I wanted it to do,” she says. When asked how she’d feel if the system was taken away, her answer is emphatic: “Very disappointed.”
