Creating More Time for Care in a Modern Learning Environment
Challenges faced before Medical Tracker
1. Large, open-plan learning and play areas, with plenty of space for pupils to learn, play and explore but also a need to record and monitor incidents across the school.
2. 630 pupils on roll each year, resulting in a high volume of first-aid and healthcare records to manage.
3. Time-consuming first-aid and healthcare administration, taking staff away from supporting, teaching and caring for pupils.
4. Limited storage space for paper records that had to be retained for 21 years.
Solutions provided by Medical Tracker
1. One central platform for managing first-aid incidents and pupilz healthcare information.
2. Less time spent on paperwork, giving staff more time to focus on pupils’ needs.
3. Quicker access to reports, freeing up senior leadership time previously spent reviewing incident data.
4. Eliminated the need for physical storage of boxes of paper incident records.
A modern, open-plan school designed around care and connection
With 630 children aged 3–11 on roll, Clifton with Rawcliffe is one of York’s largest primary schools.
In this modern, open-plan primary school, pupils in KS1, LKS2 and UKS2 share their own
phase units. With children of different ages learning alongside one another, creating a welcoming, engaging and dynamic environment has clearly been a priority.
Outside the classroom, the school has three separate playgrounds for different key stages, a polytunnel for gardening, a range of playground equipment and even a sports field. With so much space for pupils to learn, play and explore, bumps, scrapes and other everyday first-aid incidents are a familiar part of school life.
Before implementing Medical Tracker, Clifton with Rawcliffe Primary School’s relied on paper-based forms to record, report and assess accidents and other first-aid incidents. These documents then had to be stored on the school premises for 21 years.
With over 630 pupils on roll each year, storing years’ worth of paperwork quickly became impractical.
In order to replace this outdated system, Gill Johnson, the school’s Head of Business & Operations, began looking for an alternative.

"We wanted a more robust electronic system that enabled us to communicate to parents in real time and also be able to track the location of accidents more effectively to ensure all areas were being used safely.”

When Gill was first introduced to Medical Tracker, she was immediately impressed. Once they understood the benefits it could bring to the school, particularly the time it could save on first-aid and healthcare administration, her team were quick to see its value, too.
“The training was easy to follow and informative. We had a great communication link with the after-sales team too. The team loves the easy-to-use nature of Medical Tracker."
“All areas of Medical Tracker are excellent”
Medical Tracker has greatly improved first-aid and healthcare processes at Clifton with Rawcliffe Primary.
For Gill, Medical Tracker has made a real difference to how the school supports pupils’ medical needs. Recording medication and Individual Healthcare Plans (IHCPs) is now more efficient, while expiry date alerts help ensure in-date medication is always available when pupils need it.

A clearer picture across the school
Incident reporting is quicker, too, and the ability to run reports at any time gives the team a clearer picture of what’s happening across the school. From identifying incident hotspots to tracking patterns among individual pupils, classes and year groups, staff can access the information they need more easily.
As Head of Business & Operations and a member of the senior leadership team, Gill has seen the difference first-hand.
“Senior Leadership can review incident reports much quicker, freeing up more time to be in classrooms and support the children.”

Parents appreciate the prompt email communication, too.
For Gill, the difference Medical Tracker has made is clear. Would the school ever return to paper-based processes? Gill’s answer is simple: “We would not.”

Whether it's a paper-based system, a limited MIS module or a hybrid method somewhere in between - it doesn't hurt to see what else is out there.
It helps me with our site manager and look at health and safety improvements. For example, In technology, the bulk of our injuries were eye injuries and it was through not wearing safety goggles. So we were able to locate what health and safety issues are happening in departments.

It's a really simple solution to a complex problem. I can't think why no one has come up with it before now. It’s also easy to get support and the system is being developed all the time.
